Germans Trias i Pujol University Hospital Barcelona, Spain

Since May 2020, Germans Trias i Pujol University Hospital has been working with the B. Braun Backup Stock Management solution. In April 2021, almost one year after implementation, we interviewed Mr. Alex Fernandes and Mrs. Mireia León, supervisor of the sterilization and quality coordinator of the Germans Trias I Pujol University Hospital. We asked them, amongst other topics, what kind of challenges they faced with their previous replenishment system and what type of improvements they have experienced in their processes since they implemented the Backup Stock Management solution by B. Good morning, would you mind introducing your self?

Good Morning, I am Alex Fernandez, supervisor of the sterilization service of the Germans Triasi Pujol University Hospital. Good Morning, I am Mireia León, Nurse quality coordinator of the sterilization service of the Germans Trias i Pujol University Hospital.

In the past, what safety stock system did you have in your hospital?

Mireia León: Previously, we had the safety stock system in the operating rooms. That means, the material that was needed, could be replenished in the corresponding operating room.

How was previously the process to complete a set, in case an instrument was missing or damaged or in case it has been sent to technical service?

Mireia León: When a material (instrument) was damaged, it was sent to the commercial company for repair. Thus, the delay due to the time was very long. So, a basic material, such as a mosquito (clamp), could take up from three to four weeks to come back from repair if it was repairable. The same thing happened with new material. The operating room had to ask the hospital's electromedical service (they are responsible for executing requests for operating room equipment). They requested an offer for the needed equipment from the commercial company and then it was sent to the hospital. But of course, the delay time for this process was excessive.

How did it come to B. Braun's proposal to optimize your Backup Stock?

Mireia León: We became aware of the solution on a congress, exactly the congress of Malaga, to which my supervisor and I went. We liked the idea presented on the booth very much. And from there, we got in touch with B. Braun, we had some meetings and finally we implemented the B. Braun solution.

Could you describe your experience or opinion regarding the implementation process of the Backup Stock solution from B. Braun?

Alex Fernandez: The agreed date for the implementation of the Backup Stock was right at the beginning of 2020, which coincided precisely with the first wave of the COVID pandemic. We had to delay the implementation until this first wave was over. The implementation was quick, and we established a Stock that we thought was adequate for the needs we had in the OR. The performance was fast and straightforward.

Do you like the final result?

Alex Fernandez: In fact, we like it a lot. Above all, in the sense that we can automatically replace incomplete sets, either due to loss, breakage or the repair of basic instruments. We like that this process does not need to be done out of the operating room anymore and we can manage it independently right in the CSSD. And the operating rooms also benefit from this process.

In general terms, what improvements have you observed in your processes after the implementation?

Alex Fernandez: The main and fundamental one is the speed with which the sets can be completed. Additionally, the good feedback which we received from our main customer, the operating room: the most Frequently used sets are in better conditions. Essentially, these two improvements.

What benefits have you experienced from working with B. Braun?

Alex Fernandez: The first benefit of working with B. Braun is the quality of the instruments. Second, the comprehensive catalogue of B. Braun, which allows replacing practically all the instruments, independently of the basic instruments and even the specific ones and finally, the accessibility of B. Braun personnel to work with.

Last but not least (question directed to both interview partners), would you recommend the implementation of this Backup Stock to hospitals?

Alex Fernandez: Of course, we would recommend it to everyone. All the advantages it provides outweigh the small difficulties.
